Refund Policy

Version 1.0 | Effective April 2026

This policy explains when and how Acumen Safety will issue refunds. It covers all three of our main service areas: health and safety consultancy, onsite event safety services, and training. It is designed to be straightforward and fair to both our clients and our business.

This policy forms part of our Terms and Conditions of Business, which set out the full legal detail. If there is any conflict between this policy and the Terms and Conditions, the Terms and Conditions take precedence.

All cancellation requests must be confirmed in writing — by email to info@acumensafety.co.uk. The date we receive your written notice determines which charge applies.

1. Health and Safety Consultancy and Onsite Event Safety Services

This covers: Event Safety Management Plans (ESMPs), risk assessments, method statements, SAG representation, onsite show cover and safety officer roles, supplier compliance, and retained consultancy arrangements.

1.1  Cancellation Refunds

The following scale applies where you cancel a confirmed consultancy or event safety engagement:

Notice given before service dateCancellation chargeRefund on fees paid
More than 8 weeksNoneFull refund
4 – 8 weeks25% of agreed fee75% refund
2 – 4 weeks50% of agreed fee50% refund
Less than 2 weeks100% of agreed feeNo refund

1.2  Retained Consultancy

Retained arrangements may be terminated by either party on 30 days’ written notice. Monthly fees already paid for the current billing period are non-refundable. No charge applies to future months once notice has been served.

1.3  Cancellation by Acumen Safety

If Acumen Safety cancels a confirmed consultancy engagement due to circumstances within our control, you will receive a full refund of any fees paid. We will notify you as early as possible and endeavour to suggest an alternative arrangement.

1.4  Event Abandonment or Curtailment

Where a live event is abandoned, curtailed, or suspended for reasons outside either party’s reasonable control (such as severe weather, licensing intervention, or venue failure), fees are calculated on a pro-rata basis for time actually worked. Any travel and subsistence costs already incurred are non-refundable.

Where an event is cancelled or abandoned due to reasons within the client’s control — including failure to obtain required permissions or licences — the full agreed fee remains payable.

2. Training — Face-to-Face and Blended Courses

This covers the IOSH Managing Safely in Events course and any other scheduled face-to-face or blended training programmes delivered by Acumen Safety.

2.1  Cancellation Refunds

The following scale applies where you cancel a confirmed training booking:

Notice given before course dateCancellation chargeRefund on fees paid
More than 4 weeksNoneFull refund
2 – 4 weeks50% of course fee50% refund
Less than 2 weeks100% of course feeNo refund

2.2  Late Bookings

Where a booking is made within 14 days of the course start date, no cooling-off period applies and the booking is non-refundable from the point of confirmation.

2.3  Delegate Transfers

We understand that circumstances change. You may request to transfer a delegate to a future course date, subject to availability, on the following terms:

When transfer is requestedFirst transferSubsequent transfers
More than 4 weeks before courseNo charge25% of course fee
2 – 4 weeks before course25% of course fee25% of course fee
Less than 2 weeks before course50% of course fee50% of course fee

Transfer requests must be made in writing. We cannot guarantee availability on any specific future date. Transfers cannot be used as a substitute for cancellation — if a transferred booking is subsequently cancelled, the original booking date determines the applicable cancellation charge.

2.4  Non-Attendance

Where a delegate fails to attend on the day without prior notice, the full course fee is forfeited. No refund or transfer will be offered in these circumstances.

2.5  Cancellation by Acumen Safety

If Acumen Safety cancels a scheduled course — for example, due to insufficient enrolment or tutor unavailability — you will receive a full refund of fees paid, or the option to transfer to an alternative date at no charge. Acumen Safety is not liable for any additional costs you may have incurred, including travel or accommodation.

3. E-Learning and Digital Products

This covers the Working Safely in Events e-learning course and any other digital training products sold by Acumen Safety.

3.1  Access Not Yet Activated

If you have purchased an e-learning licence but have not yet activated access, you may request a full refund within 14 days of purchase. This right expires immediately upon activation of access.

3.2  Access Already Activated

Once access to an e-learning course has been activated, the licence fee is non-refundable. This applies regardless of how much of the course has been completed.

3.3  Technical Issues

If you experience a technical fault that prevents access to a course you have purchased, please contact us at info@acumensafety.co.uk. Where the fault is attributable to Acumen Safety’s platform, we will extend your access period accordingly or, at our discretion, offer a partial or full refund.

3.4  Bulk Licence Purchases

For organisations purchasing multiple licences, refunds on unused licences may be available within 30 days of purchase, subject to a written request. Licences that have been activated are non-refundable.

4. Consumer Rights — Distance Selling

Where a contract is entered into on a distance basis (for example, by booking online or by email without a prior face-to-face discussion), individual consumers — as opposed to businesses purchasing on behalf of an organisation — have a statutory right to cancel within 14 days of booking under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.

This right does not apply where the service has already commenced with your agreement prior to the 14-day period expiring. By requesting that a service begins before the 14-day cancellation window closes, you acknowledge that your right to cancel under the Regulations is waived once performance has started.

This section applies to individual consumers only. Business clients are not afforded these statutory rights and are bound by the cancellation scales set out above.

5. How to Request a Refund

To request a cancellation or refund, please contact us by email at training@acumensafety.co.uk with the following information:

  • Your name and organisation (if applicable)
  • The service or course you are cancelling
  • The original booking or engagement date
  • The reason for cancellation (optional, but helpful)

We will acknowledge your request within 2 business days and confirm the applicable refund or charge based on the date we receive your written notice. Approved refunds will be processed within 14 days to the original payment method.

6. Questions

If you have a question about this policy or a specific situation not covered here, please get in touch. We would always rather resolve a concern directly than leave it unaddressed.
